Possible changes for May 2010 and May 2011


The names of the subjects French ab initio SL and German ab initio SL will change. To update queries:
  1. Open the design view of the relevant query and edit the query criteria.
  2. Save.

As long as the field name itself does not change (even if field content does change), there is no need to update the properties of report fields.


When you create a new Access database for a new session (in our case, May 2012):


Create a new Access database:

  1. Copy an earlier Access file
  2. Paste the Access file into the folder for the new session
  3. Change the name of the file.
  4. Clear the data from the tables.
  5. Save the table.

Update the design of queries in the new database:

Queries will update automatically, but it's good to check the design of queries if you have problems:
  1. Open the design view of a query
  2. Check the source table for each field.

Update the design of forms in the new database:

  1. If you have trouble opening a form, open the design view of the form.
  2. Double click on the black square in the upper left of the form design area (just left of the ruler). This will open the Form Properties box.
  3. Check each field in the Form Properties box and update any references to sessions (e.g. change "M10" to "M11").
  4. Close the Form Properties box.
  5. Save the form.

Update the design of reports in the new database:

  1. Open the design view of the report.
  2. Double click on the black square in the upper left of the form design area (just left of the ruler). This will open the Report Properties box.
  3. Click on the "All" tab.
  4. Update the Record Source field by using the pull down list.
  5. Update the Caption field, the Order By field, or any other fields with reference to a specific session.
  6. Close the Report Properties box.
  7. Save the report.
  8. Edit the text labels in the report design view (labels such as titles, column headings, row titles, etc.). To edit, just click inside the label box and type.
  9. Save the report.
